Kirk Woodall Tennis Terms & Conditions

The following are the Terms and Conditions of Service for Kirk Woodall Tennis. All customers are required to accept these Terms and Conditions of Service prior to participation in all Kirk Woodall Tennis sessions.

Kirk Woodall Tennis may, from time to time, review and update these Terms and Conditions, and reserves the right to amend or introduce any rules necessary to ensure the safe and efficient operation and financial viability of its programme and the venue which it operates in.

Sessions

Sessions are available according to times stated in the Kirk Woodall Tennis booking system.

Sessions and instructors are subject to change with no prior notice.

We reserve the right to refuse entry to a session or advise a more appropriate session/course if any participant is found not to be of the correct age/ability, or is unable to complete a session/course due to being in the incorrect age/ability group.

Booking into sessions

Participants may book a place on Kirk Woodall Tennis sessions for themselves or their child up to 14 days in advance.

Participants will use Kirk Woodall Tennis’s booking system in order to book their place on a particular session. No other methods will be considered as acceptable forms of booking.

If there are no bookings on a particular session 24 hours before the start time of that session, then Kirk Woodall Tennis reserves the right to cancel the session without having to communicate the cancellation to customers.

Waiting lists

Each session will have a maximum number of attendees allowed. This is to ensure the quality of the session and the safety of all participants.

Once the maximum number of attendees is reached, a waiting list will be created and customers will be contacted if places become available.

Customer Details Changes

You agree to advise us immediately of any change to the customer details held on our membership database.

Termination

Kirk Woodall Tennis reserves the right to suspend its services with the client if you behave in a way that breaches Kirk Woodall Tennis’s code of conduct.

Payment

Your payment will be securely processed through our booking system.

You are responsible for the payment of your coaching.

Payment will be made when you book a course/class on Kirk Woodall Tennis’s booking system.

Participants will have had to make payment before the start date of the course/class to be able to attend.

Price Changes

From time to time we may need to increase the price of a course/class. For current customers, we will give you at least 1 full month's notice of any incoming price increase that will take effect and how much a course/class will increase.

During this period if you no longer want to carry on booking onto our future course/class bookings that will be at your own discretion. 

Refunds

Once paid, course/class payments will not be refunded for any reason. Course/class booking periods may be suspended (at the discretion of the management team) for the duration of a major medical absence/injury break, or other unforeseen circumstances, and resumed thereafter at no loss of time. Please note, this policy does not apply to minor injuries. 

Disputes

Where possible all disputes will be prevented by open and honest communication between player, parent and coach. Where this is not possible, please put your dispute in writing to Kirk at kirk@kirkwoodalltennis.com highlighting the issues you wish to raise. Kirk Woodall Tennis will then investigate the dispute and put in place processes to solve the dispute. 

No-show policy

If a player fails to cancel their booking at least 24 hours prior to the start time of the session via Kirk Woodall Tennis’s online booking system, as this is the only way to open up that spot to other players who might want to book on the session.

For players who are repeat offenders, we reserve the right to temporarily suspend online booking rights and/or to remove booking rights completely. 

Pay-as-you-go bookings

From time to time for certain sessions we offer a pay-as-you-go basis, if a player is a “no-show” to a certain session after having booked on we will then reserve the right to not issue a refund for the session. 

Photos and videos

After signing up to a course/session with Kirk Woodall Tennis, you will be asked whether you agree to have your/your child’s photograph taken by Kirk Woodall Tennis at any time whilst taking part in the sessions. If you agree, Kirk Woodall Tennis reserves the right to use any such photographs for press and or/promotional purposes.

If you find any image or video of your child on our promotional channels (such as our website and social media pages) that you’d like us to remove, please email us at kirk@kirkwoodalltennis.com and we will do so immediately.

Weather

Coaching sessions will be run wherever possible and therefore we generally ask that participants attend the start of their session regardless of the weather.

Coaching will only be cancelled in advance if the appropriate (e.g. MET Office Rainfall Radar) indicate with uncertainty that the session would be unsafe to run. If it is not predictable with certainty, the decision on whether to cancel the lessons will be made on the courts immediately prior to the lesson start time.

Cancellation of one group lesson does not necessarily mean that other lessons will be cancelled that day. If you choose not to attend on doubtful days then you risk missing the class/course if it takes place.

We will use our best choice of venue facilities and the selection of all weather courts we have on offer. Off court activities may also include match analysis, strength and conditioning, mindset skills, and goal setting.

Health

You confirm that you/your child does not suffer from health problems that would hinder exercise or prevent you/your child from engaging in exercise, or that would be detrimental or adverse to you/your child’s health, safety or physical condition if you/your child did exercise. In case of any doubt, you shall seek advice by a medical doctor who should confirm the ability to exercise.

Kirk Woodall Tennis shall have no obligation to perform a fitness assessment or a similar testing to determine your/your child’s physical condition.

Liability

Kirk Woodall Tennis cannot accept liability for any claims, damages, costs and demands in respect of death or personal injury arising from the use of the facility and our sessions by the customer pursuant to this agreement except insofar as such death or personal injury arises from negligence on the part of the Kirk Woodall Tennis staff.

Kirk Woodall Tennis cannot accept responsibility for the loss of or damage to personal property incurred whilst on the premises. 

Miscellaneous Terms

Sessions will need to be paid to allow attendance in advance, in the event that this condition is found to be broken we will ask you to leave the program until payment has been made and only if spaces are available. 

If we take no action or let you off any breach of this agreement or give you extra time to pay or comply, it will not stop us enforcing the terms of this agreement strictly at a future date.

You agree that your first and last name/your child’s first and last name will be shared with Stourbridge Lawn Tennis and Squash Club for the purpose of confirming to the club who has access to their premises. 

Kirk Woodall Tennis Code of Conduct

Player Responsibilities

Whilst attending Kirk Woodall Tennis’s sessions it is necessary that all players abide by the authority of the coaches, who represent Kirk Woodall Tennis. Aggressive behaviour towards staff or other players will not be tolerated.

All players are expected to take all their rubbish with them and leave the tennis courts, changing rooms, bathrooms clean and tidy for the next player to enjoy.

Behaviour such as swearing, racquet throwing etc. may result in a warning or withdrawal from the session and the club. Bullying in particular will not be tolerated. Parents will be informed should their child be involved in any incident involving disciplinary action, and individuals may not be allowed to continue with their coaching should their behaviour continue to adversely affect the group.

All players should be aware of other club members playing. Try to keep loud conversation and general noise down to a minimum.

Property found on the court should be given back to the owner or placed in lost property, if a staff member is nearby they will be happy to help.

Parents Responsibilities

At Kirk Woodall Tennis we know how important it is for helping parents with their child’s tennis journey, offering advice along the way. We want to work together as a team and here are some guideline pointers below.

  1. Reward when good effort is put in at all times

  2. Allowing a junior to train with some independence will encourage self development

  3. Encourage your child to follow a professional etiquette in how they respect their opponents and the sport

  4. Children like fluency and if you can keep this consistent it will help their development

  5. A big part of motivation can come from within in, encourage this by doing tennis related skills outside of coaching

  6. Try to encourage your child to develop their own pre tennis routine where they show independence in packing their bag etc.

  7. Keep up to date with LTA rule changes, this may be rankings, tournaments etc.

  8. Be as positive as you can so your child can get the most fun out of the sport

Coach Responsibilities

All Tennis coaches will sign an agreement with Kirk Woodall Tennis and the club. This agreement covers the rules that have to be adhered to, and standards expected.

  2. Coaches will create an environment that constantly encourages and develops pupils.

  3. Coaches are committed and responsible for their own CPD credits, and search for ways of furthering knowledge through mentoring schemes.

  4. Coaches will treat each person with the respect and care they deserve. Meeting each person's needs individually.

  5. Coaches will be easy to approach at all times when speaking and promoting during all types of tennis events.

Tennis Courts

When playing on plexi cushion courts there is to be non marking soles to be worn, studded shoes are not to be worn on any of the court surfaces.

Football kits are not permitted at the tennis club.

Chewing gum and sweets on court is strictly forbidden.

Persons behaving in a manner likely to disrupt the enjoyment of, or endanger other users of the courts, may be asked to leave. No refunds will be given.

Should any damage occur during the period of court usage then the user will be responsible if caused by their negligence. Any damage must be reported immediately to the appropriate member of staff.

No Smoking Policy

In the interests of other players, members and general Public Health, smoking is not permitted on the courts, clubhouse, and walkways.
